When you apply for a position at Sanos Group (or one of our subsidiaries) CVR-nr. 41409029, Herlev Hovedgade 82, 2730 Herlev, Denmark, (“Sanos”) collects and processes personal data about you as a job applicant. This information includes your job application, your CV and other relevant material submitted in connection with applying for a vacant position or as an unsolicited application.
Sanos asks you to only submit personal data about yourself to the extent that such information is relevant and necessary for the specific position you are applying for. This applies to your job application, CV and other relevant material you choose to provide us.
Sanos’ primary purpose for processing personal data in the recruitment process is to recruit the most qualified applicants. Sanos therefore processes your personal data for the purpose of assessing your skills, qualifications and suitability for the vacant position. Sanos may also process your personal data to carry out background and reference checks, communicate with you about the recruitment process, respond to your requests and inquiries for information, maintain records related to our recruitment processes and to comply with legal or regulatory requirements.
Sanos processes the personal data you have provided to us by submitting your job application, CV and other relevant material (such as diplomas, references, etc.). In addition, Sanos may process personal data collected from third parties; for example, from public databases, via LinkedIn or other public social media platforms, an online search or a recruitment agency. If deemed necessary and legitimate, Sanos may also obtain and process statements from your previous employers, such as information about your job duties and professional qualifications.
Sanos processes the personal data you have provided to Sanos in connection with the job application to pursue Sanos’ legitimate interests such as administering the recruitment process and evaluating job applicants, cf. Article 6(1)(f) of the General Data Protection Regulation (“GDPR”).
If you are selected for one of our vacancies, processing of your personal data is necessary to take the next step in the process before concluding an employment contract, cf. Article 6(1)(b) of the GDPR.
Storage of your personal data for relevant future recruitment only takes place on the basis of your consent to such processing, cf. Article 6(1)(a) of the GDPR.
Sanos may disclose personal information about you to certain third party recipients, such as other group companies or suppliers in connection with the recruitment process (including search and selection/recruitment agencies and the provider of our HR system). Such parties only process personal information about you on behalf of Sanos and in accordance with the instructions of Sanos. These third party recipients are therefore not permitted to process your personal data for their own purposes.
If your personal data is transferred to data controllers or data processors located in countries outside the EU/EEA, including group entities, and which do not ensure an adequate level of data protection, such transfer will be subject to Sanos providing appropriate safeguards pursuant to Art. 46 of the GDPR or by ensuring an exemption for specific situations pursuant to Art. 49 of the GDPR.
If you are not selected for the vacant position you have applied for, or if you withdraw your application, Sanos will, as a general rule, delete your personal data at the time of rejection or withdrawal.
In certain cases, Sanos may retain your job application, CV and other relevant material for up to 6 months, e.g. where there may be established potential legal claims. It is accepted by the Danish Data Protection Agency that applications from unsuccessful applicants may be retained for up to 3 years.
If you are not selected for the vacant position, but Sanos considers you qualified, Sanos may ask for your consent to store your application for the purpose of contacting you in connection with a relevant vacant position in the company in the future. If you have given your consent, Sanos may store your application, your CV and other relevant material for up to 6 months from the time of your consent, or until you choose to withdraw your consent.
Sanos may store and further process your personal data for a longer period than stated above in an anonymized form, which means that it is no longer possible to trace the personal data back to you, either directly or indirectly.
Below is an overview of your data subject rights. Please note, however, that such rights are not unconditional.
As a general rule, you have the right to access the personal data that we store and process about you. You also have the right to rectification and erasure and the right to restriction of processing activities.
Under certain circumstances, you can also request that we provide you with an overview of your personal data in a structured, commonly used and machine-readable format and you can ask us to transfer such data to another data controller.
